Purpose of Role
The Talent Acquisition Specialist will play a critical role supporting recruiting operations across EMEA, with a primary focus on interview coordination for corporate hiring in the Netherlands, and sourcing and screening talent to support retail hiring.
In partnership with the Talent Acquisition team, Hiring Managers, and HR partners, this role will ensure seamless, efficient coordination of interviews across multiple countries and time zones. The TA Specialist will serve as a key point of contact for candidates and internal stakeholders, delivering a consistent, high-quality candidate experience while enabling recruiting teams to operate with speed and efficiency.
This role will also proactively source and screen candidates in priority retail markets, building strong pipelines for hard-to-fill roles and new store openings. Additionally, the TA Specialist will support TA initiatives and projects, contribute to process improvements, and help create tools and resources to enhance the end-to-end recruiting experience.
Your Impact
Candidate Sourcing & Scheduling
• Leverage proactive, creative, and cost-effective recruitment methods to attract and source a diverse pool of candidates including leveraging online platforms, social media, ATS, meet-up groups, University partnerships and employee referrals
• Screen resumes and interview candidates with a focus on retail roles and support corporate roles as needed
• Coordinate and schedule interviews across EMEA and globally, managing complex, multi-stage interview processes across multiple time zones
• Partner with candidates, recruiters, and hiring teams to align availability and optimize scheduling efficiency
• Manage all logistics including calendar invites, virtual meeting links, confirmations, and onsite coordination
• Proactively troubleshoot scheduling conflicts and last-minute changes with a solutions-oriented mindset
Candidate Experience
• Serve as a primary point throughout the interview process
• Ensure timely, professional, and engaging communication at every stage
• Ensure candidates are well-prepared and supported for interviews, creating a seamless experience
Recruiting Operations Support
• Maintain accurate and up-to-date candidate records in the Applicant Tracking System (ATS)
• Support position management and audit Retail requisitions for accuracy and compliance frequently
• Support job postings, interview tracking, and coordination of hiring activities
• Identify opportunities to improve processes that enhance speed, quality, and candidate experience
• Use data and insights to inform recruiting decisions and prioritize efforts
• Support and project-manage high-volume hiring initiatives and TA programs
• Process and maintain teammate record updates in EC, including job changes, promotions, transfers, and data corrections, with a focus on accuracy and timeliness.
Stakeholder Partnership
• Partner closely with Recruiters, Hiring Managers, and HR partners across the region
• Act as a liaison between TA, HR Operations, and the business
• Support recruiting initiatives, projects, and process improvements across the region
• Support Retail communications via Clubhouse platform as needed
• Contribute to broader HR and TA projects as needed
Qualifications
• 1–3+ years of experience in recruiting coordination, HR operations, or administrative support
• Experience support recruiting across multiple countries in EMEA preferred
• Bachelor’s degree in Human Resources, Business, or a related field preferred, or equivalent combination of education and relevant experience
• Experience in SAP SuccessFactors or similar ATS
• Proven experience scheduling across multiple time zones (EMEA required; global experience a plus)
• Strong organizational skills with exceptional attention to detail
• Excellent written and verbal communication skills
• Ability to manage competing priorities in a fast-paced environment
• Proficiency with ATS and scheduling tools (e.g., Outlook, Paradox, etc.)
• Experience creating and interpreting recruiting metrics and reports
• Sourcing certifications (e.g., AIRS, LinkedIn) are a plus
Workplace Location
• Location: This individual must reside within commuting distance from our Amsterdam office.
• Work Schedule: This role follows a hybrid work schedule, requiring 4 days in-office per week.
